Bill&Go

Bill&Go takes the order. BasilBook keeps the books.

Bill&Go is our own POS, built in Phnom Penh for restaurants and cafés: orders, kitchen tickets, riel and dollars, every branch in one place. Switch on its BasilBook connection and each paid order lands in your books within a minute, as a balanced journal entry nobody typed.

Needs Professional on BasilBook and Starter or above on Bill&Go.

What comes across

Every paid order, as it was paid

Bill&Go sends; BasilBook files. Nothing to fetch, no date range to pick.

Paid orders

Each paid order becomes a sale under its order number, dated the moment it was paid. BasilBook skips a number it already holds, so a retry can never count a sale twice.

Dishes, packs and categories

Every line arrives with its dish, its options already in the price, and its category. A box of 24 is its own item beside the single can, because it is priced differently.

Payment method and cashier

Cash, card or QR Code, and who rang the order up. That is what puts the money in the right account and lets a bank receipt find its QR sale.

Refunds

An order refunded after it was sent is voided in BasilBook: the journal entry is reversed and the stock comes back, never deleted.

Setup

One key, four fields

You need to be an owner or manager in BasilBook, and the owner of the shop in Bill&Go.

  1. 1

Make a POS key in BasilBook

Settings, Integrations, POS push API, New key. Record sales as Bill&Go. BasilBook shows the key ID and the signing secret once — copy both.

  2. 2

    Open the shop in Bill&Go

In the Bill&Go dashboard: Stores, the store, BasilBook. Paste the address (https://basilbook.com), the key ID and the secret. The secret is sealed and never shown again.

  3. 3

    Give the shop a prefix

Two letters such as TK. Its orders reach BasilBook as TK-20261020-0001, so two shops never send the same number.

  4. 4

    Switch it on

Orders taken from that moment on are sent. Earlier days are not backfilled.

Pushed, not pulled

No schedule to set

A POS sync goes and fetches; Bill&Go does not need one. Every minute it sends what was paid since the last minute, in batches of up to a hundred. If BasilBook cannot be reached, nothing is lost: the orders wait and are sent again, after 1, 5, 15 and 60 minutes, then every hour. A key or a plan that stops working pauses that shop and says why in words, in the Bill&Go dashboard.

What it does to your books

Orders become journal entries

The same importer as every POS BasilBook reads, so the rules are the ones you already know.

The right cash account

Card takings debit the bank; cash and QR Code debit Cash on Hand and wait there until a bank receipt settles them. That is what makes the money you took and the money you banked two numbers you can compare.

Lines that add up to the bill

Discounts are shared out in whole cents, and the delivery fee and VAT travel as lines of their own, so a sale comes to exactly what the customer paid. An order whose lines do not add up is held in Bill&Go, never sent wrong.

Stock and cost of sales

If you track stock, a sale moves it. Cost of sales posts against the sale under recipe costing, at your stock count under count costing, or on purchase under direct costing.

Questions

The things owners ask first

Who makes Bill&Go?

We do. Bill&Go is BasilBook's own point of sale, built in Phnom Penh for the cafés, noodle shops and restaurants around us. The till takes the order; BasilBook keeps the books.

I have three branches. How do I connect them?

Each branch is its own BasilBook workspace, because BasilBook keeps books per location. In Bill&Go, every store has its own BasilBook settings: point each at its workspace with its own key, and give each its own prefix.

Will a retry duplicate my sales?

No. BasilBook files a sale under its order number and skips a number it already has, from any source. Bill&Go can send the same order as often as it needs to.

My shop prices in riel. Does that work?

Yes. Amounts are sent in the order's own money, whole riel or dollars and cents, and booked in the workspace's primary currency — so the BasilBook workspace's primary currency must be the shop's price currency.

What happens to orders from before I switched it on?

They are not sent. Only orders taken after the connection is first switched on go across; switching off and on again keeps that first moment, so nothing is sent twice.

What does it cost?

The connection comes with Bill&Go's Starter plan and up, from $15 a month. On BasilBook, the POS push API is Professional, at $39.99 a month or $399 a year per location.

Is there a Bill&Go app?

Coming soon. The Bill&Go POS app for tablets and phones, which keeps taking orders and cash when the internet drops, and the Bill&Go Console app for owners are on their way to the App Store and Google Play. Until then the till and the dashboard run in any web browser.
